How do I record a Directors'/Secretary's Service Address
How you record an officers' service address in PCSec will vary dependent on the address itself.
A - The service address is the same as the usual residential address.
Make sure you have entered a 'Usual Residential Address' recorded within the 'Addresses' section for the officer concerned.
Ensure the residential address is a current address
(Note 1) Making sure you have a "current" address:
Ensure that the address is valid as at the date of the form you are producing by checking that the 'From date' is prior to your form date, and the 'To date' is blank.
Select the company the individual is appointed to and select 'Officers' section. Select add (for new appointments) or Maintain (for existing appointments). Within the area labelled Service Address ensure that you select 'Use Usual Residential Address'.
B - The service address is different to the usual residential address.
You will need to add a 'Service Address' against the officer in question from within their 'Addresses' section. Ensuring that the officer is the selected entity, go into the 'Addresses' section. Select to add an address and change the address type to 'Service Address'. Enter details of the service address. Check that the service address is a current address - see (Note 1).
Select the company the individual is appointed to and go into the 'Officers' section. Either Add (for new appointments) or Maintain (for existing appointments). In the Service Address section of the appointment screen make sure that the option 'Use Service Address' is selected.
C - The service address is the same as the company's registered office address.
Check that the company has a registered office address recorded within the 'Addresses' section.
Ensure the registered office address is a current address - see (Note 1).
Select the 'Officers' section. Add (for new appointments) or Maintain (for existing appointments). Ensure that 'Use Company's Registered Office Address' is selected in the Service Address section of the appointment screen.
D - The service address is different to the usual residential address and the recorded service address.
If an officer wishes to use an address that is neither the usual residential address or the service address recorded within the 'Addresses' fields.
Select the company then select the 'Officers' section. Add (for new appointments) or Maintain (for existing appointments). Ensure that the Service Address section of the appointment screen is set to 'Other (specify)'. This allows you to enter the specific service address details required.
Please note that any change to the officer' service address must be notified to Companies House. You can do this through the 'Events' section by selecting the Officer(s) - Change of Details by Company event. This will produce the appropriate form (CH01 for a director or CH03 for a secretary) that can also be filed electronically.

Access the 'Officers' section and maintain the appointment to see which service address has been recorded.
If 'Use Usual Residential Address' has been selected exit the 'Officers' screen and select the Individual entity. Check that the individual officer has a 'Usual Residential Address' recorded within 'Addresses' and that this is a current address (see Note 1).
If 'Use Service Address' has been selected exit the 'Officers' screen and select the Individual entity. Check that the individual officer has a 'Service Address' recorded within the 'Addresses' section and that this address is a current address - see (Note 1).
If 'Use Company's Registered Office Address' has been selected exit the 'Officers' screen. Check that the company has a 'Registered Office Address' recorded within the 'Addresses' section and that this address is a current address - see (Note 1).
If 'Other (specify)' has been selected ensure that the address details have been completed within the appointment screen.
If the correct selection has been made within the appointment, and the corresponding address is present and valid at the date of the form, it may be necessary to 'refresh' the service address selection. To refresh simply maintain the appointment and select a different service address option, then reselect your required service address option and save the appointment record.
You can then reproduce your form, showing the service address details.

Access the 'Officers' section and maintain the appointment to see which service address option has been saved against the officer.
If 'Use Usual Residential Address' has been selected PCSec will use the usual residential address you have recorded against that individual as at the date of the form as the service address.
If 'Use Service Address' has been selected PCSec will use the service address you have recorded against that individual as at the date of the form as the service address.
If 'Use Company's Registered Office Address' has been selected PCSec will use the registered office address of the company as at the date of the form as the service address.
If 'Other (specify)' has been selected PCSec will use the address details as entered on screen within the appointment as the service address.
If an incorrect or out of date address appears on a form, check that:
1. You have made the correct service address selection within the appointment.
2. The correct and current corresponding address (usual residential, service, registered office or other) has been correctly entered also.
